Terms of Service

1. Agreement

These Terms of Service ("Terms") govern use of the aetherhub.ai website and, together with a signed order form or license agreement, the AetherHub platform (agent mobile app, management console and backend services) provided by AetherHub ("we"). Neotronics India is our official reseller in India. By using the website or platform you agree to these Terms.

2. The service

AetherHub provides call log capture, call recording upload and storage, AI transcription and summarization, analytics dashboards, reporting, team management and CRM integration for business customers. Features may evolve; we will not materially reduce core functionality of a paid deployment during its term.

3. Accounts & licensing

Access is provisioned by the customer's administrators. You must keep credentials confidential and use OTP-verified password flows to manage them. Deployments are licensed per agent seat; license files are machine-bound for on-premise installations and may not be transferred, copied or reverse-engineered.

AI transcription minutes are a metered resource. When a quota is exhausted, transcription pauses until additional minutes are purchased; recording and other features continue to function.

4. Customer responsibilities — recording compliance

The customer is solely responsible for ensuring its use of AetherHub is lawful, including: obtaining all legally required consents to record calls from agents and called parties; providing any required notices; and complying with telecom, employment and data protection laws (including the DPDP Act, 2023) in every jurisdiction where it operates. AetherHub supplies the technology, not legal compliance.

5. Acceptable use

You may not use AetherHub to record calls without a lawful basis, to harass or unlawfully surveil any person, to attempt unauthorized access to accounts or data outside your role scope, to resell the service without authorization, or to interfere with the platform's operation or security controls.

6. Customer data & ownership

Customers own their call data — recordings, transcripts, summaries and derived reports. We process it only to provide the service, as described in our Privacy Policy. Customers grant us a limited license to process this data for service operation, including via third-party AI sub-processors. We own the platform, its software and all improvements.

7. AI output disclaimer

Transcripts and AI summaries are machine-generated and may contain errors, particularly with poor audio quality or mixed languages. They are provided as decision-support, not as verbatim legal records. Customers should verify AI output before relying on it for consequential decisions.

8. Availability & support

We aim for high availability but the service is provided "as is" without uptime guarantees unless a separate SLA is agreed. Scheduled maintenance and factors outside our control (device settings, network conditions, third-party AI providers) can affect capture and processing.

9. Liability

To the maximum extent permitted by law, our aggregate liability arising out of the service in any 12-month period is limited to the fees paid for the service in that period, and we are not liable for indirect, consequential or punitive damages, lost profits, or losses arising from a customer's failure to comply with recording laws.

10. Termination

Either party may terminate per the order form. On termination, customers may request export of their data within 30 days, after which we may delete it. We may suspend access immediately for material breach of Section 4 or 5.

11. Governing law & changes

These Terms are governed by the laws of India, with courts of Bengaluru, Karnataka having jurisdiction. We may update these Terms; material changes will be notified to customers in advance. Questions: aetherhub.ai@gmail.com.
